What the Month Actually Looks Like

From your side it is a few minutes a week. Here is the part that happens without you.

Through the month

Transactions arrive from your bank feeds daily and get coded as they come in rather than piling up. If something is unclear you get a short message that week, while you still remember what it was for. Most weeks there are none.

The first week after month end

Every account with a statement gets reconciled against the statement itself, not the feed. Bank, cards, loans and any payment processor. Anything that does not tie gets chased rather than carried forward with a note.

By the 10th

Your profit and loss and balance sheet land, along with a short note in plain words about what moved and why. Not a spreadsheet dump. A couple of sentences you can act on.

Then a call if you want one

Fifteen or twenty minutes, no charge and no ticket number. Plenty of months there is nothing to discuss and it takes five. If you would rather just read the report, that is fine too.

What We Need From You

Under ten minutes a week for most businesses.

• Photograph receipts at the counter. Four seconds through the app, filed automatically against the transaction.
• Send invoices from the job site. Same day the work finishes, not the following Tuesday from a desk.
• Answer the occasional question. Usually one or two a month about a payment nobody recognises.
• Tell us when something changes. A hire, a new service line or a second entity all change what the right setup is.

That is the whole of your involvement. No spreadsheets to maintain, no paperwork to drop off, and nothing waiting on you being at a particular computer.

Switching From Another Bookkeeper

More common than starting from scratch, and it is straightforward.

The QuickBooks Online subscription stays in your name and we work under accountant access. That means switching to us takes an afternoon rather than a migration, and if you ever leave you keep the file and we simply lose access. Worth confirming that with anyone you hire, because it is not universal.

Before we start we look at the file properly. If the previous months are clean we pick up from where they left off. If they are not, we will tell you honestly what needs putting right first rather than building on top of it.

If accounts have not been reconciled in a while, that is a cleanup and it is quoted flat before anything starts.

Who Monthly Bookkeeping Fits

It fits you if

You have somewhere between forty and two hundred transactions a month, you invoice customers rather than being paid at the till, or you have employees. Almost every trade and service business in Cedar Rapids sits in that range.

It does not fit if

Your volume is genuinely low and you have no payroll, in which case quarterly costs less and loses you nothing. Or your volume is high with money arriving most days, where weekly catches problems while they are still small.

The Seasonal Version
