Monthly Bookkeeping in Cedar Rapids

Categorized, reconciled, job-costed books for Cedar Rapids small businesses, delivered by the 10th of every month on QuickBooks Online, from $350/month flat. You read three numbers and get back to work.

The monthly rhythm

1–5th: statements land, feeds sync, we categorize and job-code every transaction, using a chart of accounts built around your business, not a generic one.

By the 10th: every account reconciled to the statement, P&L and balance sheet in your inbox, job and project profitability where your package includes it, and a short note in plain English about anything worth your attention.

All month: questions answered by email by a person; W-9s collected from new 1099 contractors the day they appear; Iowa filings tracked on their calendars (, OPT, Iowa withholding) so deadlines never surprise you.

Built around your business, not a template

Every business asks its books different questions: which jobs, projects and clients actually made money, where labor and materials went, whether invoices, deposits and merchant payouts all landed where they should. Same monthly rhythm, tuned to how your business earns, see the full list of services for every piece we can add.

FAQ

Monthly bookkeeping, common questions

What's included in monthly bookkeeping?

Every account reconciled, every transaction categorized (and job-coded where it belongs), A/R and A/P kept current, and a P&L and balance sheet delivered by the 10th of each month, with a human who answers questions by email.

Why does 'closed by the 10th' matter?

Because numbers you get on the 10th change decisions that month, numbers you get in April change nothing. The close deadline is a promise, not a goal.

What do you need from me each month?

Almost nothing once we're set up: bank feeds pull transactions automatically, receipts go to a shared folder or app, and we ask about anything ambiguous in one short email. Most owners spend under 20 minutes a month on their books.

Can I switch from my current bookkeeper?

Yes, we handle the transition, review the file we inherit, and quote a cleanup first if it needs one, so you're never paying monthly fees on top of a broken file.

What the Month Actually Looks Like

From your side it is a few minutes a week. Here is the part that happens without you.

Through the month

Transactions arrive from your bank feeds daily and get coded as they come in rather than piling up. If something is unclear you get a short message that week, while you still remember what it was for. Most weeks there are none.

The first week after month end

Every account with a statement gets reconciled against the statement itself, not the feed. Bank, cards, loans and any payment processor. Anything that does not tie gets chased rather than carried forward with a note.

By the 10th

Your profit and loss and balance sheet land, along with a short note in plain words about what moved and why. Not a spreadsheet dump. A couple of sentences you can act on.

Then a call if you want one

Fifteen or twenty minutes, no charge and no ticket number. Plenty of months there is nothing to discuss and it takes five. If you would rather just read the report, that is fine too.

Closed by the 10thNumbers three months old cannot inform a decision. The close date is the whole point of paying somebody to do this, so it holds every month rather than slipping when things get busy.

What We Need From You

Under ten minutes a week for most businesses.

  • Photograph receipts at the counter. Four seconds through the app, filed automatically against the transaction.
  • Send invoices from the job site. Same day the work finishes, not the following Tuesday from a desk.
  • Answer the occasional question. Usually one or two a month about a payment nobody recognises.
  • Tell us when something changes. A hire, a new service line or a second entity all change what the right setup is.

That is the whole of your involvement. No spreadsheets to maintain, no paperwork to drop off, and nothing waiting on you being at a particular computer.

Switching From Another Bookkeeper

More common than starting from scratch, and it is straightforward.

The QuickBooks Online subscription stays in your name and we work under accountant access. That means switching to us takes an afternoon rather than a migration, and if you ever leave you keep the file and we simply lose access. Worth confirming that with anyone you hire, because it is not universal.

Before we start we look at the file properly. If the previous months are clean we pick up from where they left off. If they are not, we will tell you honestly what needs putting right first rather than building on top of it.

If accounts have not been reconciled in a while, that is a cleanup and it is quoted flat before anything starts.

The file is yours, permanently. Subscription in your name, accountant access for us, read-only bank connections that cannot move money, and no banking passwords ever requested.

Who Monthly Bookkeeping Fits

It fits you if

You have somewhere between forty and two hundred transactions a month, you invoice customers rather than being paid at the till, or you have employees. Almost every trade and service business in Cedar Rapids sits in that range.

It does not fit if

Your volume is genuinely low and you have no payroll, in which case quarterly costs less and loses you nothing. Or your volume is high with money arriving most days, where weekly catches problems while they are still small.

The Seasonal Version

Worth knowing, because most businesses here have two different years inside one.

A landscaping business might do sixty transactions in February and four hundred in July. A snow contractor runs the reverse. Applying one cycle across the whole year either overcharges you through the quiet months or leaves you behind through the busy ones.

For businesses with that shape we run weekly through the season and monthly through the quiet stretch. It is not a standard package anywhere and it fits the way work actually arrives around here.
