Read the guideA concrete contractor in Marion signed up with a national online bookkeeping service. Reasonable monthly price, slick website, everything handled remotely. For seven months it was fine.
Then he needed to know whether a particular pour had made money. He asked, and the person who replied had not seen his file before. Neither had the person after that. Nobody had set up job costing because nobody had asked what he did for a living, and the answer he eventually got was that job-level reporting was outside the scope of his plan. He was paying somebody to categorize transactions accurately and tell him nothing. What he needed was cost accounting, and he had bought a data service.
Online bookkeeping is a delivery method, not a standard. What varies enormously is who is behind it and what they actually know about your work.
Almost all bookkeeping is online now. The question worth asking is what kind.
The mechanics are common to everyone. A cloud accounting file, bank feeds, receipts photographed from a phone. We cover how that works technically on the cloud bookkeeping page.
What differs is the model behind it. A large national service assigns you to a pool of staff and standardises everything, which is how the price stays low. A small local practice gives you one person who learns your business, which costs more per month and produces a different kind of answer.
Neither is wrong. They suit different businesses, and knowing which you are buying prevents the situation above.
Seven months, nobody asked what he didThe categorization was accurate and the answer he needed did not exist. Job costing was never set up because nobody had ever asked how he made money.
Ask these of us and of anyone else you are considering. The answers separate services quickly.
Our answers, in order: one person, yes, statements, included, yours, included, fixed, yes, and a list that includes sales tax filings, audits and tax returns.
The real trade-off, stated honestly, including where the national option wins.
If your business is simple, steady and you mainly need accurate categorization for a tax return, a national service is genuinely good value and we would not pretend otherwise. If you bid work, carry equipment, or need to know which jobs pay, the gap shows up quickly.
Ask who will be in your file next March. If the honest answer is whoever is assigned, you are buying accurate data entry rather than somebody who knows your business.
Not proximity. Context.
We are remote-first and rarely sit in anybody's office, so this is not about driving over. It is about knowing the market your numbers come from.
What a crew costs around Cedar Rapids. That Linn County commercial work pays reliably and slowly while residential collects in days. That landscaping revenue arrives in seven months and a January equipment payment has to survive on it. That a mowing route in Marion and one out toward Lisbon can bill the same and earn very differently because of drive time.
A service handling businesses in forty states applies a general model. It is a reasonable model and it does not know any of that.
Where the difference shows up by trade.
For construction and framing crews around Cedar Rapids and Marion, it is job costing and retainage. Both need setting up deliberately and both are commonly outside a standard online plan.
For lawn care and landscaping in Robins, Hiawatha and out toward Lisbon, it is seasonality. A service that treats every month the same will tell you February was terrible, which you already knew and which is not information.
For anyone with subcontractors, it is 1099 season. Payments have to be tracked separately through the year, not assembled in January from a bank feed.
We work across the whole service area, out to Mt Vernon, Ely, Swisher, Springville, Bertram and Covington.
Six things worth confirming before you sign anything.
Your QuickBooks Online file, in your name, and the same person in it every month.
Photographed at the counter, invoiced from the job site, nothing waiting for a desk.
Every account reconciled against statements, then reports with a short note on what moved.
Fifteen or twenty minutes, no charge, no ticket number.
You want the convenience of remote bookkeeping without giving up somebody who knows your trade and your file.
Price is the deciding factor and your books are genuinely simple. A national service will be cheaper and for some businesses that is the right call. We would rather say so than compete on a number we cannot win.
The same bookkeeper every month, who remembers why something was coded the way it was in February.
Local costs, local payment behaviour, local seasons. A national model cannot carry that and does not claim to.
Subscription in your name. If you leave, you keep everything and we lose access, not the other way round.
Flat monthly, and we are not the cheapest option available to you.
Fees start at $350 a month, set by transaction volume, how many accounts need reconciling and whether you run payroll. Job costing, reconciliation of every account, the monthly call and year-end close are all included rather than tiered. You can find cheaper online, and what you generally give up is continuity and trade knowledge. Everything is published on the pricing page.
Ask any service one question before you sign: have you worked with my trade before? The answer tells you more than the price does.
It starts with a free Books Health Check. Fifteen minutes, screen shared, your file open. We tell you what shape it is in and whether what you need is us, a cheaper national service, or somebody in your office.
Call (319) 382-9017 or use the contact page. You get a real reply within one business day.
If the delivery method is not the question, these might be closer.
For simple businesses, often yes. They are accurate and inexpensive. Where they struggle is anything trade-specific, because the model depends on standardising every client.
With us, yes. With a larger service, usually not, and it is worth asking directly rather than assuming.
Straightforward if the subscription is in your name. Check that before you sign with anybody, because it is the single thing that makes leaving difficult.
Somewhere in the service area, yes. The work is remote but the local knowledge is the point, and it stops being useful at some distance.
Photographed from your phone at the counter. Nothing gets posted, dropped off or scanned in batches.
Yes, at every level. For businesses that bid work it is the main reason the bookkeeping is worth having.
No. We do bookkeeping, job costing, payroll support and the reporting around them. Sales tax filings are not something we take on.
The free Books Health Check takes fifteen minutes and answers what the articles can't: where your books stand.
